How to invoice for services (not products)

Invoicing for a service is different from selling a physical product. Here is what to do differently.

Service businesses — consultants, designers, marketers, lawyers, accountants, coaches, and many others — invoice differently from product sellers. There is no physical item to ship or track, which means your invoice needs to be clear about what was delivered.

Describe the service clearly

The description is the most important field on a service invoice. Rather than writing "Consultancy" or "Design work", be specific: "Brand identity design — logo, colour palette, and typography guidelines, delivered 14 June 2025." The more specific you are, the less room there is for a client to question whether the work was done.

How to handle time-based billing

If you charge by the hour or day, list the hours or days worked as the quantity and your rate as the unit price. Include the period the work covers — for example "10 hours of development work, week of 10–14 June 2025".

Invoicing for project-based work

For fixed-price projects, you typically invoice in stages: a deposit at the start, milestone payments during the project if it is large, and a final payment on completion. Each invoice should reference the stage clearly.

Expenses and disbursements

If you incur costs on behalf of a client (travel, software licences, stock photography, subcontractors), list these as separate line items clearly marked as expenses. Attach receipts where possible — this avoids any suggestion you are padding costs.

When to invoice

  • Retainer work: invoice at the start of each month or billing period
  • Project work: invoice at key milestones or on completion
  • Hourly work: invoice weekly or at the end of the month
  • Always invoice promptly — the longer you wait, the harder it is to chase

Get written confirmation of the work before invoicing if possible — an email approval, signed brief, or message saying "all done, great work" is enough to confirm delivery if a dispute arises later.
