Most clients do not respond to a quote immediately. Following up professionally can double your conversion rate without coming across as desperate.
When to follow up
- 3–5 days after sending — a brief check-in to confirm they received it
- 2–3 days before the valid until date — a gentle reminder that the price expires soon
- After the expiry date — offer to re-quote if they are still interested
What to say
Keep follow-ups short. Acknowledge that they are probably busy, confirm you are available to answer any questions, and give them an easy way to respond. Do not pressure them.
Using BillSend to follow up
BillSend shows you whether a client has viewed your quote and when. If they have not opened it after a few days, your follow-up can check they received the link. If they have viewed it multiple times, they are probably comparing prices — that is a good time to reach out and ask if they have any questions.
Resend the quote link in your follow-up message rather than attaching a PDF. The live link always shows the latest version and lets you see if they view it again.
When to let it go
After two or three follow-ups with no response, move on. Chasing a client who is not interested wastes time and can damage your reputation.
